ATTENTION EXHIBITORS:

  • No children (under 16) allowed on the show floor during move in or move out, as it is considered a construction zone during these times.
  • Your booth comes with drape only (varies depending on booth size and location).  It does not come with any furnishings, carpet, or power.  You must order these items individually for your booth as needed.  Please see ordering instructions in #5 - Electrical and #6 - Decorator sections below.

#2 - EXHIBITOR BADGES

 

All exhibitors need to display their badge on show days to gain admittance to the show floor. 

Exhibitors are given the minimum number of badges allotted to their booth automatically (see chart below)  with no form needing to be filled out. If the number of badges needed for your staff doesn't exceed the amount shown below, then simply have your staff check in at the Show Office or before the show to receive their badge.

Please note that badges do not display exhibitor or company names but there is room to put in your personal business card. 

100 square feet=5 free badges
200 square feet=8 free badges
300 square feet=10 free badges
400 square feet=12 free badges

Each additional 100 square feet gets an additional 2 badges.

If you need more than the number of badges allotted to your booth, please fill out the Edmonton Exhibitor Extra Badge Form and send to Marla at marlak@mpeshows.com no later than February 27, 2026. 

DO NOT LEAVE YOUR BADGES IN YOUR BOOTH as you need them to gain access to the show floor. Replacement badges are $10 each if lost, left at home, left in booth, a dog ate them etc.

All electrical, lighting, mechanical and hanging or rigging in the Edmonton Expo Centre is supplied by Showtech.

#7 - SHIPPING, RECIEVING AND CUSTOMS

 

Beyond Borders Logistics and Consulting is the Show's official Transport and Custom's Broker. Please contact them at brian@beyond-borderslc.com or (905) 808-1006 if you require shipping or transportation. If you are planning to ship crates or items to the show, please be mindful of the following:

Edmonton Expo Centre does not accept any shipments and does not have a dock marshal. Shipments should all be shipped through Global for them to accept at the venue.  Shipments can only come directly to the venue on March 17th or 18th, anything arriving before that may be turned away or lost.

All packages and crates must be prepaid, labeled, and addressed correctly.

If anything is being shipped out after the show, it must be clearly labelled with your name, your company name, and cell phone number as well as the name of the shipping company and contact info, and a clear address and instructions for where it is being shipped to.  You must also speak with Dave from Global (the decorator), or someone from the show management team about your shipment, where it is sitting and when it will be picked up, before you leave the building.  Please also take a photo of your shipment size, location, and label, before you leave.

Enhance Your Company's Online Exhibitor Listing

Maximize your business’s exposure and attract more customers by upgrading your exhibitor listing. As an exhibitor, you have a basic listing live on the website, and now you can Enhance It! This is included in the contracted space cost and is no additional charge. 

Within 24 hours, you will receive an automated email providing a link to elevate your listing. This link gives you the flexibility to make updates and changes to your listing as frequently as you like until one day after the show ends. Your listing will stay active for as long as you participate in the show.

#11 - SHOW INSURANCE

 

Proof of trade show insurance is mandatory. Please email a COI to Marla before March 9th, 2026 - marlak@mpeshows.com. Your provider should be able to do this fairly quickly.

  • Insurance must include exhibitor/vendor or trade show coverage (speak to your provider to see if you are covered for this already, or if you need extra coverage)
  • Move in and move out dates must be included in your coverage
  • Liability coverage should be for a minimum of $1 million
  • We require that we are listed on your policy as additionally insured. Please ensure we are listed as:

#12 - MOVE IN AND MOVE OUT

 

MOVE IN

Move in for the Edmonton Boat and Sportsmen's Show will be done in pre-assigned time slots.  A move in plan will be sent out approx. three weeks before the show.

All move in must be completed by 8pm on Wednesday March 18.  

If you cannot move in by this time for any reason, please reach out to your show management contact.

 

MOVE IN SCHEDULE - COMING SOON

 

THINGS TO REMEMBER DURING DURING MOVE IN AND MOVE OUT:

Move In and Move Out periods during events can be a dangerous time with vehicles, heavy machinery, overhead work, and many other hazards.  Exhibitors should take particular care when working during this time and should take steps to protect themselves and others.

The Edmonton EXPO Centre requires exhibitors to wear proper closed toed shoes during this time and recommends that everyone working in the space wear a visibility vest.

Additionally, equipment operators are required to have their relevant licenses and must have copies of their license with them when working at EXPO.  Anyone working above 10’ feet must use fall protection and have their fall protection certificate available upon request.  

While Field Level Hazzard Assessments (FLHA) are not required for a typical Exhibitor moving into a standard booth, we do ask the Exhibitors stop and complete one before performing a potentially dangerous task, for example, working on a raised platform, using power tools, or operating heavy machinery.  CLICK HERE for the Field Level Hazzard Assessments Form.

During move in and move out the building and parking lots are considered a construction zone, and no children under 16 years of age are permitted to be in the space.

 

MOVE OUT

Move out occurs on Sunday March 22nd, from 4pm to 12am

  • Do not disassemble any part of your booth until the doors officially close on Sunday at 4pm.  This is to be respectful to those attendees who have paid to be in the show on Sunday afternoon.
  • Once the show closes at 4pm, the aisle carpets will be rolled up.  This will take 30 to 45 minutes to complete.  The overhead doors at the back of each hall will not be opened until the aisle carpets have been rolled up. 
    • You can hand carry items out the door during this time, but you cannot drive into the hall or roll anything down the aisles until after the carpet has been rolled up.
  • Move out is allowed through the back of the building only, moving booth items through the front of the building is not allowed.
  • There will be a parking team in the parking areas behind the building managing the traffic flow.  You may have to wait in a line before you will be allowed to drive up to an overhead door for move out.  Please be patient between 4pm and approximately 6pm while the majority of the show clears out.
  • All items must be removed from the building by midnight on Sunday March 22nd.
  • If anything is being shipped out after the show, it must be clearly labelled with your name, your company name, and cell phone number as well as the name of the shipping company and contact info, and a clear address and instructions for where it is being shipped to.  You must also speak with Dave from Global (the decorator), or someone from the show management team about your shipment, where it is sitting and when it will be picked up, before you leave the building.  Please also take a photo of your shipment size, location, and label, before you leave.

 

 

#13 - PARKING

All exhibitors are required to use the 79th Street entrance off of 112th Ave. Event parking passes (4-day) also includes move in & out days (no extra charge) as well as event days.  Exhibitors must register their vehicle for all move in days as as well as event days.  Using the link above will allow the exhibitor to register for the event including the move in days, with no charge for move in.

If an exhibitor does not purchase the 4-day event pass, they will be required to pay the daily rate, including move-in and move-out days. 

License plates must be registered in the system to avoid being ticketed and/or towed. Passes cannot be transferred between vehicles.

Note: Exhibitors MUST park in the West Lot or in the Angled Exhibitor Parking behind the halls - subject to availability. 
Exhibitors are asked to enter through the 79 St. & Borden Park Road entrance via 112th Ave. 

What happens if an exhibitor enters through a public entrance?

The 79th street entrance is highly recommended for exhibitors, due to less guest traffic and is the easiest entrance for trailers as the other entrances have sharper turns. Exhibitors may experience more traffic at the public entrances. 

Trailers parked overnight do not need to be registered, but if they have a vehicle attached to the trailer, the vehicles license plate must be registered for a parking pass, or it will be ticketed.  This is in effect for the entire grounds, including the exhibitor parking lot. 

 

#14 - FOOD & BEVERAGE, SAMPLING

Please note the following information

The following are required to fill out sales and sampling applications:

  • Any vendor that is selling food or beverage meant for consumption on site
  • Any vendor that is sampling any kind of edible product

The following are required to notify Marketplace Events so that we can notify Alberta Health Services

  • All perishable items meant for consumption off site

The following are not required to fill out the sales and sampling application

  • Spices
  • Commercially packaged products i.e. jams, coffee, tea, non-hydrated soups, energy bars, weight loss products

**NEW**
Promotional Bottled Water:
Personal sized, individual, water bottles may be given away to guests as a free promotional item at your booth.  In order to qualify, promotional bottles of water are bottles of water where the original label and packaging has been professionally and completely removed and replaced with your companies branding.  Bottles of water must be unopened and given away for free.  Other products such as juice, soft drinks, energy drinks and sports drinks may not be given away as promotional advertising.

Promotional Snacks:
Personal sized snacks may be given away to guests as a free promotional item at your booth.  All items must be individually wrapped in sealed, original, commercial packaging.  Items are intended to be small personal items such as mints, candies, cookies and cake bites.  Larger food items including bags of chips, full sized cupcakes/muffins, sandwiches and others do not apply.  Exhibitors selling food or providing free samples to encourage the sale of food must complete the Food and Beverage Sales and Sampling forms.

#17 - TRAFFIC DRIVERS

 

Web Button: Increase traffic to your website with our free online button linking your customers to discounted tickets to the show. Let us know when our button is posted on your website, and we will email you an additional 10 free tickets to the show.
